Featuring floor-to-ceiling windows, dramatic finishes and an outdoor balcony. The Gallery is an elegant, urban venue ideal for corporate events, meetings and wedding receptions set against the backdrop of the Kansas City Power & Light District.

 

We are looking for an energetic, experienced and professional individual to be an Assistant Events Coordinator at The Gallery. 

Responsibilities

Includes, but not limited to:

 

 

Event Planning

  • Assist Wedding Director with all wedding details with clients once the contract is signed.
  • Meet with clients for additional walk-throughs to finalize event details.
  • Assist with continual up-selling of client and event throughout the working relationship.
  • Organize client and operational packet for each event.
  • Assist with on-site day of event coordinating to ensure execution is on schedule, maintain contact with the client throughout event and all vendor coordination.
  • Assist in management of all event vendors, including:  florist, rental company, security, parking, etc.
  • Coordinate with all event staff and operations team on event prep and day of schedule.
  • Provide event recaps for each event.
  • Contribute feedback on all events regarding operational, sales and production notes.

Marketing & Administrative

  • Assist in the development and implementation of marketing materials.
  • Attend applicable wedding shows seasonally.
  • Attend wedding industry networking events in a public relations capacity.
  • Maintain fiscal responsibility with all rentals, supplies and labor.
  • Maintain accurate records of contracts, payments, and pricing.
  • Assist Wedding Director with all clients and events.
  • Assist in maintaining and growing existing client list.

 

Qualifications

 

Requirements:

  • University Degree or College Diploma in a related field.
  • 1+ years experience in events or sales.
  • Proven leadership and ability to drive sales.
  • Strong time management and organizational skills.
  • Ability to effectively communicate information and ideas.
  • Ability to build and maintain relationships.
  • Ability to work collaboratively with all individuals on the team, including the General Managers, Kitchen Managers and banquet staff.
